Event Foundry Floral Arch Rental Guidelines and Liability Waiver

These guidelines are created to protect the floral arches, keep the setup safe, and make sure the rental process is clear and smooth for everyone.

By booking or using a floral arch rental from Event Foundry, the client agrees to follow the guidelines below.


1. Care of the Floral Arch

All floral arches, florals, greenery, frames, bases, weights, hardware, and accessories remain the property of Event Foundry.

The client agrees to treat the arch with care and make sure guests, vendors, venue staff, children, and event participants do not damage, misuse, move, climb on, lean on, pull, push, or hang from the arch.
 

2. Please Communicate Before Moving the Arch

Please communicate with Event Foundry before moving the arch for any reason.

The arch is placed intentionally for safety, balance, and stability. Moving it without communication may cause damage, make it unstable, or create a safety risk.

If the arch needs to be moved during the event, please contact Event Foundry first so we can guide you on the safest option.
 

3. No Modifications or Changes

No modifications, changes, or additions may be made to the arch without approval from Event Foundry.

This includes, but is not limited to:

  • Adding extra florals, greenery, fabric, signs, balloons, lights, ribbon, candles, or decor

  • Using zip ties, wire, tape, hooks, nails, staples, glue, or adhesives

  • Removing, rearranging, pulling, or adjusting florals or greenery

  • Changing the frame, base, weights, hardware, or support system

  • Attaching anything that may scratch, bend, stain, pull, or damage the arch

Any unauthorized changes may result in repair, replacement, or cleaning fees.
 

4. Safety Guidelines

To keep everyone safe and protect the arch, the client agrees to follow these safety guidelines:

  • Do not climb on, lean on, pull, push, hang from, or sit on the arch

  • Do not allow children to play on or around the arch

  • Do not remove weights, bases, sandbags, stakes, or support pieces

  • Do not place open flames, candles, fireworks, sparklers, heaters, grills, or hot items near the arch

  • Do not move the arch without communicating with Event Foundry first

  • Do not place heavy items, signage, or decor on the arch without approval

  • Keep guests and vendors from bumping into or handling the arch

  • Contact Event Foundry immediately if the arch becomes unstable, damaged, or unsafe
     

5. Outdoor Use and Weather

Outdoor setups may be affected by wind, rain, storms, extreme heat, uneven ground, mud, or other conditions.

For safety reasons, Event Foundry may adjust the placement, require an alternate setup location, refuse setup, or remove the arch if conditions are unsafe.

The client is responsible for providing a safe setup area and communicating any venue rules, outdoor concerns, or location issues before the event.
 

6. Damage, Loss, or Missing Items

The client is responsible for the floral arch and all rental items while they are in use at the event.

The client agrees to pay for any damage, loss, missing pieces, broken florals, bent frames, damaged bases, stains, excessive cleaning, or replacement costs caused during the rental period.

Damage fees may include cleaning, repair, replacement, labor, and loss of future rental income if the arch cannot be used for another event.
 

7. Incident or Accident Protocol

If an incident, accident, injury, damage, or safety concern happens, please follow these steps:

  1. Stop using the arch immediately if it appears unsafe

  2. Keep guests away from the arch

  3. Contact Event Foundry as soon as possible

  4. Take photos or videos of the issue if it is safe to do so

  5. Notify the venue or event coordinator if needed

  6. Do not attempt to repair, modify, or move the arch unless instructed by Event Foundry

In an emergency, contact emergency services first.
 

8. Liability Waiver

The client understands that floral arches and event decor may involve risk if they are moved, misused, altered, climbed on, placed in unsafe conditions, or handled improperly.

The client agrees that Event Foundry, its owner, team members, assistants, and contractors are not responsible for injuries, accidents, venue damage, personal property damage, event delays, or other losses caused by misuse, unauthorized movement, unsafe conditions, weather, guests, vendors, venue staff, or any person not acting under the direct instruction of Event Foundry.

The client agrees to release, waive, and hold harmless Event Foundry from claims, damages, injuries, losses, expenses, or legal actions related to the use, placement, or condition of the floral arch during the rental period, except where caused by the direct negligence of Event Foundry.
 

9. Venue and Vendor Responsibility

The client is responsible for making sure the venue allows floral arches and that the setup location is approved before delivery.

The client is also responsible for sharing these guidelines with any planner, coordinator, venue staff, photographer, florist, decorator, family member, or vendor who may interact with the arch.
 

10. Delivery and Pickup

The client agrees to provide clear access for delivery and pickup.

The arch must remain available for pickup at the agreed location. If the arch is blocked, moved, missing, damaged, or unavailable at pickup, additional fees may apply

11.Cancellation and Rescheduling Policy

Clients may cancel or reschedule their booking online up to 15 days before the scheduled event start time.

Cancellations
Cancellations made at least 15 days before the event may be completed through the client’s online account.
Cancellations requested less than 15 days before the event cannot be completed online and must be submitted directly to Event Foundry. Late cancellation requests are not guaranteed to be approved.
Any refund or credit will be determined according to the payment, retainer, and refund terms agreed to at the time of booking.

 Rescheduling
Clients may reschedule their booking online up to 15 days before the scheduled event start time.
Rescheduling is subject to rental availability and is not guaranteed until the new date has been confirmed by Event Foundry.
Requests made less than 15 days before the event cannot be completed online. Event Foundry may approve or decline a late rescheduling request based on availability, staffing, delivery arrangements, and other event commitments.

Additional delivery, setup, administrative, or price-difference fees may apply when a booking is rescheduled

 Important
A booking is not considered canceled or rescheduled until the client receives written confirmation from Event Foundry.
Failure to attend the event, provide access to the venue, or communicate a cancellation does not qualify as a valid cancellation or rescheduling request.

 

12. Agreement

By booking, paying a deposit, making a payment, or using a floral arch rental from Event Foundry, the client confirms that they have read, understood, and agreed to these floral arch rental guidelines and liability waiver.
